Accessing Your Gmail for ASU Account Using Outlook 2010

There are a few things you should do first before beginning:

Note: The password you set at the above website is independent of your normal ASURITE password. If you change your ASURITE password in the future, your Gmail for ASU POP/Chat password will not be changed. However, you may always go to the above website to change your Gmail for ASU POP/Chat password.

After you have successfully enabled IMAP on your Gmail account and set your Gmail for ASU POP/Chat password, use these steps to set up Outlook 2010:

Step 1.  Navigate to the Control Panel by clicking on Start and then click on Control Panel. Locate and open the Mail Icon.

  • Click the Windows Start button to open the Start Menu and eitherOpen the Mail icon in the Control Panel as outlined below:
    • Select Control Panel OR
    • Select Settings, and then click the Control Panel

  • Open the Mail icon in the Control panel as outlined below:
    • In Windows XP to view Control Panel as shown below you will need to be in Classic View.
      • If your Control Panel looks different than the picture below please switch to the Classic View by clicking on the button labeled Switch to Classic View which is to the left of the control panel icons.

    • In Windows 7 to view Control Panel as shown below you will need to have Small Icons selected for the View by setting.
      • If your Control Panel looks different than the picture below please switch to Small Icons by clicking on the button labeled View by: Large Icons and change it to Small Icons; this option is in the upper right portion of the Control Panel window.

Step 2.  Click on the Show Profiles... button.

Step 3.  Select Prompt for a profile to be used then click on the Add button.

Step 4.  Enter the name you would like this profile to be called and then click OK.

Step 5.  Select Manually configure server settings or additional server types and click the Next button.

Step 6.  Select Internet E-mail and click Next.

Step 7.  Enter the following information on the Email Settings screen.

  • Enter your name into the Your Name field
  • Enter your e-mail address into the E-mail Address field (this is usually ASURITE UserID@asu.edu)
  • Select IMAP for the Account Type
  • Enter imap.gmail.com into the Incoming Mail Server field
  • Enter smtp.gmail.com into the Outgoing Mail Server field
  • Enter ASURITE UserID@asu.edu into the User Name field Enter your Gmail for ASU POP/Chat password that you had previously set up into the Password field
    • For example, if your ASURITE UserID is rsmith then you would enter rsmith@asu.edu into the User Name field.

 Step 8.  Click on the More Settings... button

Step 9.  Click on the Advanced tab.

  • Ensure Incoming sever(IMAP) reads 993
  • Select SSL for the Encrypted connection
  • Ensure Outgoing sever(SMTP) reads 587
  • Select TLS for the Encrypted connection

Step 10. Click on the Outgoing Server tab.

  • Check the box for My outgoing server (SMTP) requires authentication
  • Select the Use same settings as my incoming mail server option
  • Click on OK

Step 11. Click on Next then click on the Finish button. You can now securely send and receive mail using Outlook 2010.
