Publishing Guidelines (Hy11)

Before publishing content to the main folders:

  1. Verify that the  connection files (.oce's) used in the report sources are ones that are available to the general community. This means content should not be published to the main folders that point to restricted connections (such as SAPRD, PMPRD, etc.) or any other sources to which the general community does not have access. For example, queries published to the Student (and other subfolders) should only pull content from the DW_Student .oce. In the rare instances that reports in the main folders contain information from sources outside the standard .oce, we should look into ways of securing/restricting the data such as password protection and/or permission settings assigned.
     
  2. Each published report should contain an Information section. The information section should contain, at minimum, a brief description of the purpose of the query, the limitations (criteria/filters) and any pertinent instructions on how to use the query, the initial publish date and developer name or group.
     
  3. Revisions to published reports should be done through the Versions functionality. Another option can be to place the older version placed into a deprecated or archive folder. Be sure to update the Information section on the updated report to indicate the revision date, reason and editor.

Permission to the report must be applied at the group level. To apply permission to the report:

  1. Navigate to saved report within the main content folder. Right click on the query and select Edit Permissions.

     
  2. Click on the Groups tab. Groups are associated with the various content areas. For example, the group associated with the student data content is "Student", whereas the group associated with the human resources data content is "HR".
    Note: Only the content on which the report is based should be granted access. If different connection files (.oces) are used, the permission of the other content owner must be obtained.

     
  3. Groups can be located by searching for the group. Type in the group name and click on Update List.

     
  4. Once the user is found and displayed, select the user and move them into Selected Users, Groups and Roles using the move arrow.

     
  5. In the Selected, Groups and Roles window, under the Access to File property, double click on Inherit to access the options available. Select the View option.
     
  6. Under the Adaptive State property, double click on Inherit to access the options available. Most public reports are published with Query and Analyze option, which allows access to the Query and Results sections and the ability to process the report.

    More information about the various options:
    • Inherit: Not set to Anything. This permission defaults to View Only if this is the only permission declared.
    • View Only: Will allow access to only the Results section. No "Process" option is available.
    • View and Process: Will allow access to only the Results section. Able to "Process" the document.
    • Analyze: No Query section is available. No "Process" option is available. Able to create tables, pivots, charts and reports.
    • Analyze and Process: No Query section is available but able to "Process" document. Able to create tables, pivots, charts and reports.
    • Query and Analyze: Access to Query and Results sections. Able to "Process" document. Able to create tables, pivots, charts and reports. No table catalog available.
    • Datamodel and Analyze: Access to Query and Results sections. Able to "Process" document. Able to create tables, pivots, charts and reports. Table catalog available.

  7. Leave the Favorite option as Inherit. Also, do not select (leave unchecked) the options of:
    • Make these the default permissions for all Interactive Reporting files I import.
    • Push this item to selected Users, Groups and Roles.

  8. Once the Access to File and Adaptive State options have been assigned, click on OK to close the Permissions window.

     
  9. You will be returned to the main Explore workspace.
