Setting up your Exchange Mailbox in Outlook

Please follow the instructions below to set up your Outlook email client with your Exchange mailbox. This article covers setup procedure for Windows versions of Outlook including 2003, 2007 and 2010 if you are attempting to setup Microsoft Outlook 2011 on your Apple (Mac) system please see "Accessing Your Exchange E-mail using Outlook 2011 for Mac"

Please Note: Outlook 2003 clients that are below Service Pack 2 need go to Microsoft Update Website and update your client before proceeding.

Before starting please make sure to exit Outlook if it is currently running on your computer

  1. To start setting up your Outlook 2003/2007/2010 email client

    1. Click the Windows Start button to open the Start Menu and either

      • Select Control Panel OR
      • Select Settings, and then click Control Panel
  2. Open the Mail icon in the Control Panel as outlined below

    • In Windows XP to view Control Panel as shown below you will need to be in Classic View

      • If your Control Panel looks different than the picture below please switch to Classic View by click the button labeled ‘Switch to Classic View’ which is to the left of the control panel icons

       

    • In Windows 7 to view Control Panel as shown below you will need to have Small Icons selected for the View by setting.

    • If your Control Panel looks different than the picture below please switch to Small Icons by click the button labeled ‘View by: Large Icons’ and change it to ‘Small Icons’; this option is in the upper right portion of the control panel window

       

  3. If you haven't setup any email accounts in Outlook you will be shown a window to create a New Profile

    1. Please click on the Add button to create a new mail profile

       

    2. The Profile window will now open. In the Profile Name field please enter ASU Exchange and then click OK

  4. If you have setup an email account in Outlook you will see the Mail Setup window as shown below

    • Click the Email Accounts button
      • For Outlook 2003 clients; The E-Mail Accounts window will open as shown below. Select the option Add a new e-mail account and then click Next


      • For Outlook 2007 or Outlook 2010 users the Account Settings window will be shown as illustrated below. Under the Email tab click on the New button


         
  5. Next, please select the account type Microsoft Exchange and then click Next

  6. You will now see the E-mail Accounts window

    • In the ‘Microsoft Exchange Server:’ field enter: outlook.asu.edu
    • Check the ‘Use Cached Exchange Mode’ option
    • Enter your ASURITEID in the ‘User Name:’ field

  7. If you will be using the computer on a NON ASU network please go to step 8.  If you will only be using this computer on the ASU network then please click Next and on the next window click Finish. Your Outlook client is now configured for use with your Exchange mailbox.

    Lastly, please open Outlook to verify your configuration is working. You may be prompted to enter your username and your password as shown below.

    • In the ‘User Name:’ field make sure to enter ASURITE\[YourASURITEID]
    • In the ‘Password:’ field enter your ASURITE password and then click OK to connect to the Exchange server 


  8. Click the ‘More Settings’ button

  9. Click on the ‘Connection’ tab, Check the ‘Connect to Microsoft Exchange using HTTP’ option and then click ‘Exchange Proxy Settings’

  10. Please fill out the fields for the proxy settings

    • In the ‘Use this URL to connect to my proxy server for Exchange:’ field enter: ex2010.asu.edu
    • In the ‘Only connect to proxy servers that…’ field enter: MSSTD:ex2010.asu.edu
    • Select the ‘On slow networks, connect using…’ option
    • De-select the option ‘On fast networks, connect using’
    • Under the ‘Proxy authentications settings’ area select NTLM Authentication from the dropdown menu
    • Click OK

  1. You are now back at the ‘E-mail Accounts’ window. Please click the Next and on the next window click Finish. Your Outlook client is now configured for use with your Exchange mailbox.
  2. Lastly, please open Outlook to verify your configuration is working. You may be prompted to enter your username and your password as shown below.

    • In the ‘User Name:’ field make sure to enter ASURITE\[YourASURITEID]
    • In the ‘Password:’ field enter your ASURITE password and then click OK to connect to the Exchange server 

You should now be able to access your Arizona State University Microsoft Exchange e-mail account through Microsoft Office Outlook. If you are currently off campus and after following the instructions above to connect on a NON ASU Network are unsuccessful. Try installing Cisco AnyConnect VPN Client on your computer to allow you to connect from off campus.
